A well-established boutique investment bank is seeking a polished and proactive Executive Assistant & Office Manager to support its senior leadership team and oversee day-to-day office operations. This is a high-impact role ideal for someone who thrives in a fast-paced, professional environment and enjoys wearing multiple hats.
Key Responsibilities
• Executive Support: Manage calendars, coordinate travel, prepare meeting materials, and handle correspondence for senior bankers.
• Office Management: Maintain a professional and welcoming office environment, manage supplies and vendors, and coordinate internal events.
• Client & Vendor Liaison: Serve as a point of contact for clients and external partners, ensuring smooth communication and coordination.
• Document & Expense Management: Organize confidential files, prepare reports, and process expense reimbursements.
• Calendar & Travel Coordination: Book travel, schedule meetings, and proactively resolve scheduling conflicts.
Ideal Candidate Profile
• 5+ years of experience in an executive assistant or office manager role, preferably within financial services.
• Strong proficiency in Microsoft Office; familiarity with CRM/project management tools (ACT! or DealCloud a plus).
• Excellent communication, organizational, and multitasking skills.
• Professional demeanor with a high level of discretion and attention to detail.
• Comfortable working independently and collaboratively in a dynamic environment.
